Voice over IP (voice over Internet Protocol, VoIP) refers to the delivery of voice communications and multimedia sessions over the internet. You can make calls and send messages to other people via VoIP.  VoIP systems are also ideally used in business meetings.  Having a VoIP unit can help your business increase its profit margins. This article will show you exactly how to do it.

You will almost immediately see a return on investment after purchasing a VoIP as they last for a number of years. Travelling to meetings can be expensive and some companies may find it hard to justify the expense.  A VoIP system can be used for all business meetings according to research. It’s almost like having the person you’re calling in the room with you, that’s how much the quality of VoIP has advanced in recent years.  Some businesses are finding it hard to maintain profitability given the recent harsh financial circumstances.  All expenses and the salary of the people travelling also need to be taken into account.  The cost of a VoIP unit will nearly always be cheaper than your annual spending on travelling. Your company’s productivity can be improved by using VoIP as it can lead to decisions being made quicker.  When having a voice conversation with someone, it can be hard to distinguish their mood. When we can see the person we’re talking to, naturally, better communication will occur.  Most VoIP systems now allow video calls.  Jobs are completed quicker through good communication; therefore it is imperative in commerce.  When we can’t see the person we’re speaking to, we’re more likely to misinterpret the communication. If you’re not the only person involved in the decision when recruiting, you can hold interviews via VoIP and record them.  They can then be played back to other managers.  This is also a great way for you to screen applicants before calling them to your offices for an interview. However, you will need to have the candidate’s permission before recording the interview.  It can be a waste of your time, interviewing candidates at your office and then discovering they don’t have the expertise to perform the job.

Free calls can take place between two VoIP users.  Therefore, any employees that work from home can report to their managers for free.  This is a cheaper alternative to business phones.  Employees are more likely to stay with your organization if they are allowed more time at home. 84% of workers are not satisfied with their work-life balance according to research conducted by the Corporate Executive Board of 50,000 employees.  The main reason why people quit their jobs is the commute they face every day to get to the office, according to research.

 

Competitive Benefit

People are more likely to trust people that they can see. In the future, we may be calling companies and being able to see the person we’re speaking to.  Companies are now commonly being contacted via VoIP systems such as Skype, so incorporating this into calls could give them the competitive benefit.

 

Ecological Initiatives

As your company’s need to travel will be reduced if you use a VoIP system, you will also reduce your carbon footprint.  This can be included on your Corporate Social responsibility report.  When buying a VoIP system here are a few things to bear in mind:

  • For it to work at full capacity, a broadband connection will be required
  • The space it will be kept in
  • The maximum amount of people that will be taking part in any one given call
  • The areas it is likely to be used in
